The last time I attended an auction fundraiser I actually hoped I would NOT win because I didn’t want to wait in the crazy check-out line/crowd when the event was over at 10:30 p.m. Not to mention, I knew it was cold in the entryway where the check-out tables were located and I was impatient.
The beginning and end of an auction are probably the least favorite parts for anyone who attends these events – both attendees and organizers. People are anxious to get into the event — which is a good thing — but many don’t want to wait in line to check-out at the end. Some, in fact, won’t wait. They may leave knowing you’ll call them in a few days to let them know their bid won. But that is just more work for you as the organizer.
With this in mind, BidCoz has developed a couple of new features aimed at minimizing the beginning of the event ticket check-in lines and ending payment check-out lines.
With BidCoz’s Self Check-in feature, all ticket holders are asked to confirm their ticket and account information online, in advance. They can’t check themselves in until all tickets are accounted for which encourages them to enter any other guest’s information if they have purchased tables, for example. If additional information is required, like a credit card, they must enter that too before checking in. When all is ready, they check-in online, and he or she will receive a check-in confirmation email they can present at the door for quick access to the event. And unless you have a long line at the coat check-in, this will help everyone enter more quickly and start your event off with smooth sailing.
As ticket purchasers assign tickets to other guests they have invited, those new ticket holders will be sent an email to give them the same opportunity to Self Check-in early.
With BidCoz’s Auto Check-out feature, as mentioned above, organizers can require all auction participants to enter a credit card in advance. They are sent an email, prior to the event, asking them to visit the campaign and enter their credit card information. This also works in conjunction with Self Check-in. Then, at the end of the event, the organizer simply clicks one button and checks everyone out. Guests can still check themselves out, if they like, prior to your using Auto Check-out, but why?
Yes, your guests still must pick up their items but now it’s easy as they can present their email receipt, which lists all the items they’ve won and paid for.
Please note, organizers can override the credit card requirement for any individual users who would prefer to pay by cash or check. Organizers can also process credit cards, cash, or check payments manually via your BidCoz software.
Use Auto Checkout for your online/mobile auction, where the ticket component is not being utilized. When guests visit your campaign website, they will be prompted to enter their credit card information as they attempt to cast their first bid.
